Business Support Specialist (1903111) – Brighton, CO

Under the direction of the Site Manager, this position provides front office business support and coordination. In addition to typing, filing and scheduling, performs duties such as coordination of meetings and conferences/ events, obtaining supplies, coordinating mailings, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of external contacts, customers and visitors, as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload in an appropriate and confidential manner.

Responsibilities include:

  • Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.

  • Procures materials for site as needed.

  • Enters purchase requisitions, service entries and processes invoices.

  • Creates and develops visual presentations for the site manager.

  • Establishes, develops, maintains and updates filing system. Retrieves and organizes information from files when needed.

  • Organizes and prioritizes large volumes of information and calls.

  • Answers phones for site manager. Takes messages or fields/answers routine and non-routine questions.

  • Acts as a liaison to site visitors and interacts with other departments and outside visitors.

  • Handles confidential and non-routine information.

  • Works independently and within a team on special nonrecurring and ongoing projects.

  • Acts as project manager for special projects, at the request of the site manager, which may include: planning and coordinating presentations, disseminating information etc…

  • Supports and conducts expense reporting activities documenting corporate credit card, procurement cards including assembling documentation and reconciling accounts.

  • Schedules and organizes complex activities such as meetings, travel and site activities.

Basic qualifications:

  • Must have experience supporting and managing front office activities.

  • Highly proficient in Microsoft Office Applications including Word, Excel, Outlook and PowerPoint

  • Familiar with procuring and receiving materials in an Enterprise system (SAP)

  • Exceptional organizational and time management skills

  • Willingness to jump in and help with duties outside of scope of position

  • Detail-oriented, resourceful, responsible, focused, and proactive

  • Able to function well during a stressful/crisis/deadline situation

  • Solid oral and written communication skills

  • Professional and positive attitude

  • Must be able to work in a fast pace and collaborative environment, and handle multiple tasks concurrently

  • Flexible to work overtime if needed in accordance with company’s overtime policy.
