We are seeking a professional like you to be responsible for supporting the maintenance management staff with the entire invoicing process, as well as provide timely feedback by efficient data gathering and analysis, which will lead to improvement projects. You will also be responsible for ensuring that Work Order data, documentation systems, procurement systems, and paperwork are optimized to enable timely troubleshooting and provide general support for the maintenance organization.
You will utilize excellent organizational skills to meet deadlines in a fast-paced manufacturing environment. Your responsibilities will include entering and scanning data from maintenance work orders, closing out maintenance work orders, reconciling invoices, placing purchase requisitions, and serving as a liaison with procurement for order status updates. Additionally, you will be critical in supporting the maintenance team with key performance indicators, reporting, budgeting, and documentation needs. You will gather and analyze data to identify trends and opportunities for improvement in the maintenance and production areas and communicate those opportunities along with suggested solutions to leadership. Additionally, you will work closely with the maintenance and operations teams to improve asset reliability and meet the site targets for improved asset effectiveness.
Utilizing yourcomputer skills, including Microsoft office programs (Word, Excel, PowerPoint,Visio, etc.), SharePoint, and data visualization tools (i.e. Power BI),you will generate / monitor reports, as well as improve the sites datavisualization to optimize the use of current data systems.
Your robust analyticalskills will aid you in developing reports and analyzing maintenance spend,unplanned downtime, and other maintenance KPIs.
Workingindependently with minimal direction, you will ensure that supportingdocumentation is optimized to efficiently manage the invoicing process, toensure timely reconciliation for accurate and timely billing. Thisincludes entry of daily time confirmations to capture hours spent by thetechnicians.
Your strong organizationalskills combined with attention to detail will be a valued asset as you track and supportthe management of the maintenance budget.
Leveraging your Associate’sdegree (bachelor’s degree preferred) and your experience working in amaintenance organization within a production facility, you will understandand support accounting rules for maintenance and repair. Additionally, youwill review work orders monthly to ensure proper classification, identifydeficiencies and correct.
Your experiencewith analysis of data and continuous improvement activities in amaintenance organization will be beneficial as you support key performanceindicators and help with graphical representation of the data, ultimatelyleading to opportunity identification.
Utilizing your experiencecreating purchase requests within SAP for blanket and individualmaintenance activities, you will serve as the expert for therequisitioning process to ensure proper account numbers, material groups,and cost centers. You will also manage framework purchase order generationand amounts to ensure an adequate balance for daily maintenance needs andensure additional dollars are added or a new purchase order issued beforefunds are exhausted.
Your expertise usingSAP will be vital as you review and capture work order feedback in SAP,including but not limited to hours, as found as left condition, partsused, feedback on job plans, steps to complete job, follow up repairsneeded, etc.
Working as a teamplayer, you will provide support to the department as a back-up to theMaintenance Scheduler during his/her absence. This would include directinteraction with the Maintenance Supervisor and the Gatekeeper to properlyassign maintenance resources.
